Information we collect
Information you give us
We collect information only when you choose to send it, for example when you:
- Apply to adopt or foster: your name, email, phone number, town, type of home, who lives with you, other pets, and anything you tell us about your routine.
- Sign up to volunteer: your name, contact details, age group, the roles you're interested in and when you're available.
- Send us a message: your name, email, the topic and your message.
- Join our newsletter: your email address.
- Make a donation: see Donations below.
Information collected automatically
We don't use analytics, advertising trackers or tracking cookies on this website. Like almost every website, our hosting provider automatically records basic technical information when pages are requested, such as your IP address, browser type and the time of the visit. This is used to keep the site running and secure.
How we use it
- To review and respond to adoption, foster and volunteer applications
- To answer your questions and messages
- To process donations and send receipts
- To send our monthly newsletter, if you've asked for it
- To keep records we need for our work, such as which family adopted which dog
- To meet our legal and tax obligations as a nonprofit
When we share it
We do not sell, rent or trade your personal information. We share it only:
- With service providers who help us run this website, handle form submissions, send email or process payments. They may use your information only to provide that service to us.
- With your permission, for example contacting your landlord or veterinarian as part of an adoption application.
- When the law requires it, such as a valid court order, or to protect the safety of people or animals.
Adoption and foster applications
Applications are read by our adoption and foster volunteers. As part of the process we may ask to speak with your landlord, visit your home or check with your current veterinarian. We'll always tell you before we contact anyone. Microchips are registered in the adopter's name with the microchip company, which has its own privacy policy.
Donations
Online donations are handled by a secure third-party payment processor. We never see or store your full card number. We receive your name, email address, donation amount and date so that we can thank you and send a receipt for your tax records. If you mail a check, we keep your name, address and gift amount for the same purpose.
Cookies and third-party services
This website does not set its own cookies. Some parts of the site load content from other companies, which means your browser connects to their servers and they may receive your IP address:
- Google Maps shows our location on the Home and Contact pages.
- Google Fonts provides the typefaces used on this site.
- Unsplash hosts some of the photographs.
Each of these services is covered by its own privacy policy. Links we provide to other websites, including social media, are also covered by those sites' own policies.
How long we keep it
We keep information only as long as we need it. Adoption records are kept for the life of the dog, so we can honor our promise to take any 12 Hills dog back. Foster and volunteer records are kept while you're active with us and for two years after. General messages are deleted within two years. Donation records are kept for seven years, as required for tax purposes.
Your choices
You can ask us at any time to:
- Tell you what information we hold about you
- Correct information that's wrong
- Delete your information, unless we're required to keep it by law
- Stop sending you our newsletter, using the unsubscribe link in any email or by contacting us
We'll respond within 30 days.
Children
This website isn't directed at children under 13, and we don't knowingly collect their information. Volunteers aged 12 to 15 sign up together with a parent or guardian, who provides the contact details.
Security
This website is served over an encrypted connection. Access to the information you send us is limited to the volunteers who need it to do their job. No system is perfectly secure, but we take reasonable steps to protect your information from loss, misuse and unauthorized access.
Changes to this policy
If we change this policy, we'll post the new version here and update the date at the top of the page. Significant changes will also be announced in our newsletter.
